I revamped the information architecture, optmized core user flows, and redesigned a scalable post-meeting navigation experience utlizing user-centered approach and handed off the final hi-fi and visual design under tight timeline. I delivered a variety of tasks that contributed to the project success, including defining project scopes, conducting democratizing UX research, enacting design priorities, regular stakeholder sync-ups, conducting user testing, and followed up the final release with off-shore engineering team.

Revamp the post-meeting experience for RingCentral customers: scaling a comprehensive and frictionless navigation approach to optimize users' workflow.



The Challenges








The main challenges include very tight time constraints, the lack of understanding of users' post-meeting behavior, and cross-platform redesign that smoothly accomodates both smartphone and tablet devices.

To overcome these challenges, I conducted agile user research on UserTesting.com, enacted key milestone goals with stakeholders, actively shared my work to stakeholders regulary and iterated based on feedback. I also documented my design thoroughly to increase the efficiency of cross-timezone collaboration.

Through these proactive approaches, I successfully navigated the challenges and demostrated how much impacts that good UX can bring by delivering a user-centric cross-platform solution that enhances the overall post-meeting workflow for our customers.

The Research





The Scoping

I conducted agile user research to understand users' needs for the post-meeting experience. According to the research, common user needs include access to meeting recordings and transcripts, reviewing meeting highlights and summaries, accessing chat and Q&A history, creating action items and follow-ups, and downloading meeting materials.

To better prioritizing new features, I quickly created an interaction map to understand the gap between current capabilities and users' desired features. After that, I kicked off a meeting with PM and ENG to finalize the project scope and new feature priorities based on our timeline and estimated efforts.

The Impacts

After all, the ultimate goal of this project was to revamp the post-meeting experience by incorporating new features into the current framework, making it more comprehensive. To better evaluate the design's impact, I established success metrics with the project manager and validated user engagement statistics via Mixpanel after the launch of these new features, resulting in an increase of approximately 21%.

I also conducted a user satisfaction study following the feature release. Compared to the old version's design, the new design significantly increased the satisfaction rate of post-meeting tasks by 28%.
